Notice of Annual Administrative Fee

Dear Pediatric Families

Over the last 20 years it has been an honor and a pleasure to serve as your child’s pediatrician and I intend to do so for many years to come. The current state of healthcare insurance, however, makes it very difficult for small independent practices such as mine to maintain our autonomy without joining a larger medical group.

Administrative requirements have increased dramatically over the years as have expectations of
services. Many services are not covered by insurance as part of traditional medical visits. Some
examples are the handling of prescription refills, completing prior authorizations, having availability of
same-day or next-day appointments, and after-hours phone calls with me (instead of another doctor or
a nurse advice line).

To support our staff and continue to provide the level of personalized care that I believe is appropriate, and that you, my patients, have become accustomed to, our practice needs to charge an annual administrative fee. We will implement this fee on January 1, 2025, as follows:

  • 1 Child $100/year

  • 2 Children $175/year

  • 3 or more Children $225/year

Fees will be collected at the child’s first office visit, then annually after the prior annual fee has expired. We will use these fees to continue to provide comprehensive care and offset the rising costs of practicing medicine that are not covered by insurance. The Annual Administrative Fee will cover the following:

  • Completing forms for childcare centers, schools, sports and camps within 3 business days

  • Writing notes for missed school or work, P.E. excuses, return to activities

  • Sending copies of medical records to specialists and/or other providers at no additional chargeupon your request.

  • Preparing letters and reports

  • Continuity of Care

Being a part of caring for your children and helping them to grow to their full potential is my life’s work. Your trusting me with this task is truly humbling and I’m hoping to continue to do so as long as I am able.

Sincerely,

Daniel N. Scaff MD FAAP
